Six things to check
Check each of these in every demo. Under each one, we say where autoGMS stands.
1. It runs the whole job
Can the software move a job from booking to paid invoice without rebuilding the same record?
autoGMS: The estimate loads the booking’s work and parts. An approved estimate becomes a job on a bay without retyping, and the invoice is prefilled from the job’s services and parts.
2. It shows live shop capacity
Can managers see bays, technicians, approvals and work in progress before promising more jobs?
autoGMS: The shop board shows each bay, the job on it, a live timer and any job on hold for parts or approval. It can run on a TV on the shop wall.
3. It ties parts to profit
Does inventory stay tied to the repair order, the invoice, cost, markup and stock movement?
autoGMS: Assigning a part to a job takes it out of stock and records which job used it. Each item carries its cost price and margin, and the invoice picks up the parts from the job.
4. It handles tax and financial reports
Can the team issue invoices with the right tax, track payments and hand clean records to the accountant?
autoGMS: Invoices use the tax rate in your shop settings, and you record full or partial payments against them. Financial reports, such as profit and loss and aged receivables, are an add-on on the Core plan. Invoices and payments can sync to Xero, QuickBooks or Sage, which comes with the Financial Reports add-on, and the Financial Summary exports as an Excel workbook for your accountant.
5. Technicians will use it
Will technicians use it on the shop floor, or drift back to paper and text messages?
autoGMS: Technicians use autoGMS in a phone or desktop browser, with no separate app to install. They see their own jobs and can complete a job from the bay card.
6. It rolls out cleanly
Can the shop start with the core workflow and add more later, without a long ERP project?
autoGMS: Customers import from a CSV file, up to 500 per file, and parts from a spreadsheet. A checklist on the dashboard tracks setup through to the first booking. How switching works.
When autoGMS belongs on your shortlist
autoGMS isn’t trying to be every tool for every automotive business. It’s built for repair shops that want one connected way to run the day.
Good fit
- Independent auto repair shops that want one booking-to-invoice workflow.
- Shops with several bays that need live job, bay and technician visibility.
- Shops that sell parts and need inventory tied to job cost and margin.
- Owners who want daily numbers without spreadsheet reporting.
Not the best fit
- Dealership groups that need a full OEM dealer management system.
- Businesses looking only for year-end accounting software.
- Shops that only need a simple appointment calendar.
- Teams that want to keep repair orders, invoices, inventory and reports in separate tools.
Compare the workflow, not the feature list
A long feature list means little if the work still breaks between the front desk, the shop floor, the parts shelf, the invoice and the owner’s report.
| Area | What to check | Where autoGMS fits |
|---|---|---|
| Bookings and scheduling | Online requests, phone bookings, walk-ins, reminders, no-shows and shop capacity | When the front desk needs bookings to become real jobs |
| Repair orders and bays | Bay status, technician ownership, job stages, approvals, notes, photos, timers and handoffs | When managers need live control without walking the floor for every update |
| Parts and inventory | Stock levels, suppliers, purchasing, parts used on jobs, cost, markup and margin | When parts need to show in each job’s profit as well as the stock count |
| Invoices and payments | Estimates, invoices with sales tax, deposits, balances, payment status and customer records | When invoices need to come from the job, not a separate billing tool |
| Reports | Revenue, margin, bay use, technician output, demand, unpaid balances and repeat work | When owners want reports from the work the shop already records |
| Customers and follow-up | Customer records, vehicles, service history, declined work, reminders and review requests for repeat work | When customer history needs to stay tied to jobs and future bookings |
Which kind of software fits
| Type | When it fits | The risk |
|---|---|---|
| Spreadsheets and paper | Very new shops with few jobs | No live view of bays, stock, invoices, payments or reports |
| General business software (ERP) | Businesses with broad accounting, purchasing or corporate needs | Usually too heavy for technicians, advisors and daily shop control |
| Single-purpose tools | Shops fixing one narrow problem, such as booking or invoicing only | Customer, job, stock and money data split across systems |
| autoGMS | Repair shops that want bookings, repair orders, bays, inventory, invoices, payments and reports connected | Not the right main tool if you only need accounting software or a dealership DMS |
Questions to ask in every demo
Don’t buy from screenshots. Ask every vendor to prove the workflow with live records and real shop scenarios.
Here is how autoGMS answers each one.
- Can you show one job moving from booking to repair order to invoice? Yes. The booking becomes an estimate, the approved estimate becomes a repair order on a bay, and the finished job lands on the Needs Invoice list with its lines filled in.
- Can parts used on a job flow into cost, margin, stock and reports? Yes. Assigning a part takes it out of stock and records the job that used it. Each item carries its cost price and margin, and both flow into the invoice and the reports.
- Can I see unpaid balances, tax on invoices and financial reports from live job data? Yes. Invoices carry the tax rate from your shop settings and show what is paid and what is still owed. Financial reports, such as profit and loss and aged receivables, read the same records. They are an add-on on Core.
- Can technicians use repair orders on a phone without slowing the shop down? Yes. Technicians use autoGMS in a phone or desktop browser, with nothing to install. They see their own jobs, and several technicians can work one job, with one marked Primary.
- Can the system show bay and technician workload before we accept more bookings? Yes. The shop board shows every bay, the job on it, its technicians and a live timer. Each technician has a Maximum concurrent jobs limit from 1 to 10, and a daily booking cap stops the calendar overfilling.
- Can reports show revenue, margin, bay use and technician output without exports? Yes. Shop analytics show revenue, jobs, bays and technicians on screen. Exports to Excel and CSV are there when your accountant wants them.

Questions shops ask
What should I compare when choosing garage management software?
Start with the full workflow: bookings, repair orders, bays, technicians, inventory, invoices, payments, reports and customer follow-up. A long feature list is less useful if those parts don’t stay connected.
Is autoGMS a good fit for small shops?
autoGMS is a strong fit for independent shops that want to move from paper, spreadsheets and scattered messages into one booking-to-invoice workflow.
Does autoGMS replace accounting software?
No, it works alongside it. autoGMS runs the shop, including invoices, payments, expenses, balances and financial reports, and with the Financial Reports add-on, invoices and payments sync to Xero, QuickBooks or Sage. Your accountant keeps the books in the accounting software.
Can autoGMS handle inventory and repair orders together?
Yes. Parts stay connected to the job, the stock count, the supplier, the invoice and the item’s cost and margin.
How should I compare autoGMS with other systems?
Ask each vendor to show one real job moving from booking to repair order, through bay work and parts, into invoice, payment and reporting. That exposes gaps faster than a feature checklist. If Tekmetric is on your list, see autoGMS vs Tekmetric.
