Auto repair financial reports. Know if the shop made money.

Profit and loss, balance sheet, cash flow, aged receivables and payables, a transaction ledger and a sales tax report, built from the invoices and expenses already in autoGMS. Financial Reports is a paid add-on on the Core plan.

Month-end summary emailed
  • 10 reports, from P&L and balance sheet to cash flow and sales tax
  • 5 aging buckets: current, 1–30, 31–60, 61–90 and 90+ days
  • 15 expense categories, from payroll to rent and utilities
  • 4 repeat schedules for recurring bills: weekly, monthly, quarterly, yearly

From the receipt to your accountant in four steps.

  1. 1 Record the bills

Enter a category, a description and an amount. Set rent or insurance to repeat weekly, monthly, quarterly or yearly, or import up to 500 rows from CSV or Excel.

  2. 2 Record what isn't an expense

Prepaid bills, bills you'll pay later, equipment, money the owner puts in and transfers between your accounts go in Financial Entries. That keeps profit and cash right.

  3. 3 Review the month

The Financial Summary puts revenue from invoiced work, parts and labor cost, gross profit, operating expenses and net profit on one page. It adds what customers owe, what you owe and the cash that moved.

  4. 4 Send it to your accountant

Sync to Xero, QuickBooks or Sage, or to Qoyod. Or export an Excel workbook with the profit and loss, invoices, expenses, tax, receivables, payables, balance sheet, cash flow and ledger, and schedule it to email every month.

The profit and loss report. Are you making money?

  1. 1
Revenue from finished work Invoices issued in the period for completed jobs, split into labor and parts. Deposit invoices don't count.
  2. 2
Jobs not invoiced yet Completed jobs with no issued invoice are listed apart for follow-up. They aren't counted as revenue.
  3. 3
Cost of goods sold Parts cost and tech labor cost from those jobs, which gives gross profit and gross margin.
  4. 4
Net profit and margin Gross profit minus operating expenses such as payroll, rent and utilities. Compare with the previous period or the same period last year.

Three settings. Set them once.

  • On by default

Tech labor as a job cost

Technicians' hourly rates count as job cost in reports and exports. Turn it off and assignments still work, and the labor cost columns hide.

  • Profit and loss

    Which part costs count

Count only the parts and labor on the jobs, or also add parts and materials expenses not tied to a job. Stock bought for inventory counts once it's used on a completed job.

  • Month end

    Summary email

Pick the recipients and timing. autoGMS emails the Financial Summary for the last complete month, with the Excel workbook attached.

Where it stops. Better to know now.

  • A paid add-on. Financial Reports is an add-on on the Core plan. Without it, nobody on the team sees these reports.
  • Accounting sync comes with the add-on. Invoices, payments, customers and bills sync to Xero, QuickBooks or Sage. It comes with the Financial Reports add-on. The Excel and CSV exports still work.
  • It's not your books. These are management reports, not audited statements. The ledger lists each transaction once. It isn't double-entry bookkeeping, so your accountant still keeps the formal books.
  • It doesn't file returns. The sales tax report totals the tax on your sales and purchases for a period. You or your accountant file the return.

Questions shops ask

Can my accountant get the numbers?

Yes. autoGMS syncs with Xero, QuickBooks and Sage, and with Qoyod. You can also export the Financial Summary as an Excel workbook, or email it every month on a schedule. The ledger exports to CSV, and the sales tax report to Excel, PDF or CSV.

Why doesn't profit match the cash in the bank?

Profit counts invoices for completed work on the day they're issued. Cash flow counts payments on the day they arrive. An invoice issued in April and paid in May is April revenue and May cash.

Do deposits count as revenue?

No. A deposit is cash received before the final invoice. It helps cash flow, and revenue counts once the final invoice is issued for a completed job.

Why does my gross margin show 100%?

Costs are probably missing. The Financial Actuals report warns when no jobs, or only some, have recorded costs, or when tech labor costing is off.

Who can see these reports?

Owners, admins and managers, once the add-on is on. Techs and service advisors can't.
