Auto repair shop reporting. Finished, billed and collected.

Nine reports cover revenue, customers, the shop floor, techs, parts, billing, cash collected and expenses. Each one names the date it counts by, and marks a figure unavailable instead of showing a zero it can't back up.

Completed job has no invoice
  • 9 reports, from revenue and customers to billing, collections and expenses
  • Excel export on every detailed report, with the same dates and rules
  • 5 booking statuses on the dashboard: pending, confirmed, in service, completed, canceled
  • 365 days of parts usage history

From the morning check to the Excel file in four steps.

  1. 1 Start with the action center

The top of the dashboard lists what needs action today, ranked urgent, warning or info. It catches completed jobs with no invoice, approved estimates never booked, overdue invoices and more. Each row has a button to the page that fixes it.

Urgent · Completed job has no invoice
  2. 2 Check the month

Bars compare invoice value with recorded expenses, month by month. A status bar counts bookings as pending, confirmed, in service, completed or canceled, with the value in each.

  3. 3 Open the report you need

Pick one of nine reports under Analytics. The date range carries over as you switch, and each report shows which date it counts by.

  4. 4 Export the rows

Every detailed report exports to Excel with the same shop, dates and rules as the page. The file holds that one report.

The Analytics overview. Four numbers and what needs attention.

  1. 1
Four headline numbers Completed-job revenue, completed jobs, customers served and average completed-job value, each with a small trend chart.
  2. 2
A fair comparison Each number is compared with the period of the same length just before the one you picked.
  3. 3
What needs attention Overdue invoices, completed jobs without invoices and stock problems, each with the amount at stake and a link to the report that resolves it.
  4. 4
No false zeros If a check can't run, the overview says so instead of showing zero.

Different dates for different questions. Each report says which one it uses.

  • Job completion date

    Revenue, customers and profit

Work counts when the repair order is completed inside the period. Revenue, Customers and Jobs & Profitability use this date.

  • Invoice issue date

    Billing

Invoices count on the day they're issued. Billing also lists completed jobs that still have no invoice.

  • Payment date

    Collections

Cash counts on the day it arrives. Credits applied to a balance don't count as cash.

  • As of the end date

    Balances

Outstanding and overdue balances, aging and customer balances are snapshots. Moving the start date doesn't change them.

Revenue and cash can differ because they use different dates. A repair order completed in April and paid in May is April revenue and May cash.

What it doesn't measure. Better to know now.

  • No technician efficiency scores. Team Performance shows each tech's assigned, active, completed and canceled jobs and recorded time. It doesn't assign revenue to techs, rank them or pick a top performer.
  • No bay utilization. The shop floor report covers booking flow and timing. It doesn't report bay utilization or rank bays.
  • Profit needs recorded costs. A job with no recorded cost shows profit as unavailable, not zero. Profit and margin totals count only jobs with costs, and the report says how many.
  • One shop at a time. The dashboard shows one shop. With several shops, a list compares bookings, revenue and customers side by side.

Questions shops ask

When does a job count as revenue?

When the repair order is completed inside the date range. Issued invoices are in Billing, and cash received is in Collections.

What counts as a new customer?

A customer whose first completed repair order falls in the period. Anyone else served in the period counts as returning.

Can my techs see the numbers?

No. Owners, admins and managers see Analytics. Techs and service advisors don't.

Is the dashboard live?

It caches figures and refreshes them in the background. Each section has its own refresh button when you want the latest numbers.

Where are profit and loss and the balance sheet?

In Financial Reports, a paid add-on on the Core plan. See financial reporting.
