Auto repair customer management. Every car and visit on one profile.

autoGMS builds the profile from each booking, whether it came in online, by phone or at the counter. Search by name, phone, plate or VIN to see their vehicles, past work, estimates and files.

Last booking · 2 months ago
  • 5 tabs on each profile, from vehicles and bookings to files
  • 5 filters on the customer list, last visit and total spend included
  • 500 customers per CSV import, matched by phone number

How the record builds from the first visit on.

  1. 1 Start with your list

Import up to 500 customers per CSV file. A phone number that's already on file updates that customer instead of adding a copy.

  2. 2 Bookings fill it in

Each booking creates or updates the profile. Mileage taken at the desk or in a completed inspection is saved to the vehicle.

  3. 3 The next visit starts there

Type 3 digits of a phone number at the desk. The customer appears with their vehicle count, ready to book.

  4. 4 The work stays on file

Every booking, estimate and file stays on the profile. Files added during a job link back to that booking.

Two kinds of customer. One set of records.

  • Most customers

    Individual

Name, phone, email, notes, and as many vehicles as they bring in.

  • Companies with several vehicles

    Business account

A business name and contact, their fleet, and one invoice for their unbilled work when you want it.

Change it later. Switch an individual to a business account from the profile's contact card.

Where it stops. Better to know now.

  • Customers can't be deleted. Deactivate them instead. The history stays, and they can't be picked for new bookings until you reactivate them.
  • The import covers contacts only. The CSV takes names, phone, email and business name. Vehicles are added on the profile, one at a time, or at booking.
  • Messages are a log, not an inbox. The Communication tab shows email and WhatsApp activity. "Opened WhatsApp" means the draft was opened, not that it was sent.
  • Each location keeps its own list. A customer created at one of your shops shows in that shop's list, not the others.

Questions shops ask

Can I bring my customers over from my old system?

Yes. Import a CSV of up to 500 customers and 5 MB at a time. Phone numbers already on file update that customer rather than create a duplicate.

Can I add a customer without a booking?

Yes. Add them with their vehicle while you build a new estimate, or import them.

Can my techs see customer profiles?

No. Techs can't open the customer list or profiles. Owners and admins can, and you can turn access on for managers, service advisors and receptionists.

Can I export my customer list?

Yes. Search or filter the list, then export the matching customers as a CSV.
