VAT invoicing for UAE garages. From approved estimate to paid invoice, on one record.

Send estimates for approval, issue VAT-ready invoices with your TRN, record payments, handle corrections and hand your accountant cleaner records.

  1. Estimate · Approved
  2. VAT invoice · Issued
  3. Payment · Part paid
  4. Credit note · Linked

VAT gets messy when billing sits outside the workshop. Four ways it happens.

  • Approvals drift away from the invoice

If estimate decisions live in calls and screenshots, the final invoice can stop matching what the customer approved.

  • VAT details get rebuilt after the job

Tax totals, TRN details, due dates and customer records should travel with the work instead of being rebuilt at the end.

  • Payments disappear into side notes

Deposits, part payments and overdue balances are harder to manage when the ledger sits outside the workshop.

  • Month end takes too long

Owners end up explaining approvals, corrections, credits and payments to the accountant from scattered records.

VAT invoicing inside the workshop workflow. Five steps, one record.

  1. Send the estimate for approval

Build an itemized estimate with services, parts and labor, then send the approval link on WhatsApp. The customer approves, holds or declines each line. Change the scope after approval and autoGMS saves a new version, with the approved one locked.

  2. Turn approved work into an invoice

The invoice fills in from the same job and the approved estimate, with your VAT rate, the tax breakdown, your TRN, the due date and your bank details.

  3. Track paid, due and overdue

Record full or part payments and the payment method on the invoice. The balance and status update on their own.

  4. Correct without rewriting history

Edit an unpaid invoice, or void it and issue a replacement. Once it’s paid, use a credit note. Every version stays linked on a timeline.

  5. Hand over cleaner records

Sync invoices and payments to Xero, QuickBooks or Sage with the optional Financial Reports add-on, or export them to CSV at month end, with dates, customers, vehicles, status, amounts and payments. With the Financial Reports add-on, the Tax Report shows VAT collected, VAT paid and net VAT payable for the period.

Where it stops. Better to know now.

  • It doesn’t file your VAT return. autoGMS is built for workshop billing, not year-end statutory close. Confirm filing requirements with your accountant.
  • It works beside your accounting software. It keeps estimates, invoices, payments and corrections tidy, then syncs them to Xero, QuickBooks or Sage with the optional Financial Reports add-on, or to Qoyod. A CSV export is there too.
  • The VAT rate is yours to set. autoGMS suggests the default rate for your garage’s country. Change it in settings, or on an unpaid invoice.
  • Estimates go out on WhatsApp. The send dialog opens WhatsApp with the link ready, and you tap send. Or download the PDF and share it your own way.

Same tools across the Gulf. Your currency, your rate.

Garages in Saudi Arabia, Bahrain and Oman use the same estimates, invoices, payments and corrections, in their own currency and VAT rate. Saudi garages can also send invoices to Qoyod.

VAT invoicing questions

What does VAT invoicing in autoGMS cover?

Estimates, customer approvals, VAT-ready invoices, payment records, corrections and the handoff to your accountant, all from one connected workflow.

Does autoGMS support UAE TRN details?

Yes. Save your garage TRN once and show it on invoices. Business customers can have their own TRN on their profile, and it appears on their estimates and invoices.

Can I track part payments and overdue invoices?

Yes. Record part and full payments, payment methods and due dates. The invoice shows the remaining balance, and overdue invoices get their own queue.

How do corrections and credit notes work?

An unpaid invoice can be edited, or voided and reissued. A paid or part-paid invoice takes a credit note instead, so the billing trail stays clear.

Does autoGMS replace accounting software?

No, it connects to it. autoGMS handles workshop billing, VAT-ready invoices and payments, then syncs invoices and payments to Xero, QuickBooks or Sage with the optional Financial Reports add-on, or exports them to CSV, so your accountant works from clean records.

When does UAE e-invoicing start for a garage?

Under the UAE e-invoicing rollout, businesses below the large-taxpayer threshold must appoint an Accredited Service Provider by 31 March 2027 and go live on 1 July 2027. Check your own dates with your accountant.
